BACKSTAGE VOLUNTEERS NEEDED – Now is the time for parents AND dancers age 12 and older to volunteer to help backstage during our recital week Saturday, June 8th through Friday, June 14th. We need as much help as possible! Please consider helping backstage during at least one of our 6 performances. Listed below is information concerning our DRESS REHEARSALS for our June 2019 Recitals. Please follow the criteria listed below to the letter to ensure smooth running dress rehearsals and subsequent performances.
Included with this email is a SCHEDULE OF DRESS REHEARSALS listed by date and time for Friday, May 31st, Saturday, June 1st, Monday, June 3rd, Tuesday, June 4th, Wednesday, June 5th and Thursday, June 6th. There are NO rehearsals on Friday, June 7th. Recital performances begin Saturday, June 8th at Greendale High School. All performances begin at 7:00pm, with the exception of the Sunday, June 9th performance, which is a 2:00pm matinee.
PLEASE NOTE THE FOLLOWING:
- Dress rehearsals are held at Greendale High School in the Henry Ross Auditorium located at 6801 Southway in Greendale. Please enter Greendale High School through the back doors located in the rear parking lot behind the
- Dancers must arrive at least 30 MINUTES BEFORE their scheduled dress rehearsal time to warm-up and review choreography with the class assistants. Dancers should plan to stay 30 MINUTES AFTER their 25-minute on stage dress rehearsal to possibly rehearse more with their teacher or assistant teacher(s). This is required, not just a suggestion! In most cases, dancers are dismissed immediately following their time on stage. Each teacher will dismiss their dancers after their stage rehearsal if they do not need them to stay later for extra
- All dress rehearsals are in FULL COSTUME (all necessary alterations should be complete by the dates of dress rehearsals) WITH REQUIRED TIGHTS & SHOES WITH HAIRSTYLE & FULL STAGE MAKE-UP. This is the only opportunity for you to personally record your dancer’s class routine in costume. Please remember to come fully prepared for this dress rehearsal. It affects all the dancers in your group if you come in regular dance clothes or with pieces of your costume missing or your hair styled differently than what is REMEMBER THAT THIS IS A FULL DRESS REHEARSAL!
- Anyone may bring video cameras to tape the dress rehearsals on Friday, May 31st, Saturday, June 1st, Monday, June 3rd, Tuesday, June 4th, Wednesday, June 5th and Thursday, June 6th. This is also your opportunity to take photos of your dancers in
NO VIDEO CAMERAS OF ANY KIND OR PHOTOGRAPHY ARE ALLOWED IN THE AUDITORIUM DURING
ANY OF THE PERFORMANCES SATURDAY, JUNE 8TH – FRIDAY, JUNE 14TH.
- A dressing room at Greendale High School will be open for dancers who perform in more than one dance number and need to change costumes, hairstyles, etc. during dress rehearsals. Parents are expected to do all of their own dancer’s costume and hairstyle changes on their corresponding rehearsal days. More specific details about recital costume changes during the performances will be in both the May newsletter and Backstage Information note that you will receive in
- Dancers and IMMEDIATE family only may stay and watch the dress rehearsals on the following dress rehearsal days: Friday, May 31st, Saturday, June 1st, Monday, June 3rd, Tuesday, June 4th, Wednesday, June 5th and Thursday, June 6th. Anyone that is disturbing the rehearsals will be asked to It is very important that those observing remain quiet. It is very difficult for the dancers to hear instructions while they are on the stage. The noise is extremely distracting, especially for the younger dancers. Your courtesy towards the dancers, teachers and those observing and/or videotaping their dancer is much appreciated. Anyone watching dress rehearsals must be seated in an auditorium seat! No one may sit on the floor in front of the first row of seats! In addition, please note that the front row of the center section of the auditorium is reserved for teachers and staff during dress rehearsals. There is no running or fooling around and there is absolutely NO FOOD OR DRINK ALLOWED IN THE AUDITORIUM… PLEASE RESPECT THIS RULE! Refreshments are allowed in the hallways and specific dressing rooms only! Please adhere to the signs that tell where food and/or drink will be allowed!
- PLEASE BE ON TIME TO PICK UP YOUR DANCERS! Know the completion time of your dancer’s rehearsal! If your dancer is scheduled to rehearse in the last time slot on a specific day, please be there 25 minutes after their start time to pick up your dancer. PLEASE BE ON TIME!!!
ATTENDING TO YOUR RECITAL NEEDS – During the week of dress rehearsals at Greendale High School, you are able to purchase additional recital tickets and tights if needed. Someone from our staff will always be there to answer your questions and attend to all of your recital needs!
IMPORTANT – FINALE – All of our dancers appear on stage at the end of each performance for a final bow. Dancers will learn the finale choreography in their regular classes during the last few weeks of class. Since we do not do a full run-through rehearsal of any of our shows, we want to emphasize early on that it is imperative the backstage crew receives FULL COOPERATION AT ALL TIMES, especially in setting up our finale during each performance. Please be helpful, cooperative and above all, quiet for those in charge backstage. Thank you for helping to make your shows a success!

TIME: The exact schedule is listed by class day, time and teacher. Picture times are listed in bold print in 15-minute increments.
PLEASE ARRIVE DRESSED IN FULL COSTUME WITH COSMETICS FULLY APPLIED AND HAIRSTYLE
COMPLETE 15 – 20 MINUTES BEFORE YOUR SCHEDULED PICTURE TIME.
WE DO NOT WAIT FOR ANY LATE ARRIVALS… PLEASE BE EARLY!!!
Double and triple check your picture date and time listed in bold print. Both individual and group photos are taken within a 15-minute increment. If you miss the group photo, you may still have an individual photo taken when we are able to fit you in. We will not go off schedule to take any individual pictures.
If you will not be able to make your scheduled picture time, please let us know in advance. Sometimes we get ahead of schedule and will take the group picture early if all of the dancers are ready to avoid any possibility of getting behind schedule.
COSTUMES, HAIRSTYLE & MAKE-UP – All dancers should be dressed in FULL costume (all necessary alterations must be made to your costume(s) according to the costume instruction sheet including shoulder straps properly placed, pant hems taken up, elastic chin straps attached to hats, etc.) with proper tights, shoes and hairstyle.
Dancers’ costumes, tights, shoes and hairstyles are checked for accuracy on Picture Day to better prepare for dress rehearsal & recital dates. A lighter version of stage cosmetics is strongly suggested for all dancers for Picture Day. Follow the cosmetic application instruction sheet (which you will receive with your costume and costume instruction sheets) using less of each product to achieve a somewhat lighter look for Picture Day.
HAIRSTYLE & MAKE-UP APPLICATION SERVICES – Again this season we are offering assistance with hair styling and cosmetic application on Picture Days! We charge a small fee for these services as a fundraiser for the TI Program dancers. Watch for specific details to come in our May newsletter!
PRICING – Picture envelopes from Sport Pics will be available for pick up beginning Ticket Day, Saturday, April 27th. Prices are listed on the envelopes. Please use one separate envelope per dance. You may combine your total payment in one check, cash, or credit card payment however each dance requires a separate envelope. Additional envelopes will be available at the front desk following Ticket Day, April 27th. In order to keep on schedule, please have your envelopes completely filled out with payment enclosed BEFORE your scheduled picture time! Dancers should have their own envelope in hand when waiting in line to be photographed. Sport Pics accepts cash, check, or credit card.
IMPORTANT – Parents must wait in the lobby away from the photography room (Studio Room 2) where the pictures are taken. Dancers, teachers, assistant teachers and the photography staff ONLY are allowed in the photography studio while dancers are being photographed. We truly appreciate your cooperation in this matter!

2019 RECITAL DATES: June 8th, 9th 10th, 11th, 13th & 14th
As you should have read in the March newsletter, tickets for our June recital performances go on sale, SATURDAY, APRIL 27TH at Young Dance Academy.
Please note: Our tickets are sold using a lottery system. Each Young Dance family chooses their recital ticket purchasing time through “LUCK OF THE DRAW.” Please read this entire newsletter to fully understand how our ticket sales work.
IMPORTANT – Tuition through April & any other outstanding fees MUST BE PAID IN FULL before you purchase recital tickets on SATURDAY, APRIL 27TH! NO TICKETS WILL BE SOLD TO THOSE OWING TUITION FEES OR ANY OTHER OUTSTANDING BALANCES.
RECITAL TICKET SALES PROCEDURE
DRAWING YOUR “TICKET TIME” – Beginning MONDAY, APRIL 1st you may come to the studio during regular studio hours to pull your designated “ticket time” for ticket day, Saturday, April 27th. One person per family must draw a “ticket time” from our “ticket time lottery.” The “ticket time” you draw is the specific time you will be able to come in on ticket day, Saturday, April 27th to purchase your recital tickets. Our front desk personnel will then record your “ticket time” in our logbook. You must pull your ticket time before Saturday, April 27th. The “LUCK OF THE DRAW” determines what “ticket time” you will pick, not when you draw out of the box. Often some of the earliest lottery times are not drawn until the later on in the lottery.
TICKET DAY SALES – “Ticket times” are blocked into 5-minute increments. There are 4 spots per 5-minute time slot. For example, if you pick 12:05 p.m., three other families will be purchasing tickets at that same time on ticket day. There will be 4 ticket-selling stations. Tickets are $15.00 each for all 6 of our recital performances. Seating is reserved. Everyone entering the auditorium is required to have a ticket, except children age 3 years and younger when seated on the lap of a parent.
TICKET LIMIT – THE TICKET LIMIT IS TEN (10) TICKETS TOTAL PER FAMILY ON TICKET DAY. You may purchase up to 10 tickets or less on ticket day. The tickets may be split up in any way you desire. For example, 5 tickets for the Sunday show, 2 tickets for the Monday show and 3 tickets for the Friday show. You are not required to buy all 10 tickets.
NOTE: Dancers are NOT allowed in the auditorium during an evening in which they perform, whether they are in or out of costume. Do not buy a ticket for your dancer, as they are required to be backstage and never in the audience on their scheduled performance night!
YOU MAY PURCHASE YOUR RECITAL TICKETS IN ONE OF THE FOLLOWING WAYS:
- IN PERSON – Ticket day is SATURDAY, APRIL 27TH. Come to the studio at your designated “ticket time,” which you drew from our ticket time lottery. Wait for your family name to be called during your designated “ticket time”. Select your tickets by viewing seat availability on the seating charts posted at each ticket selling station. Full payment for the total number of tickets purchased is due at this time. Cash, Check & Credit are accepted.
IF YOU ARRIVE AFTER YOUR “TICKET TIME” HAS EXPIRED, YOU WILL NOT BE ABLE TO PURCHASE TICKETS UNTIL WE CAN FIT YOU IN! The ticket sellers will not make someone else wait who is there at their specific “ticket time”. We do not make phone calls to those who miss their designated “ticket time”. If you miss purchasing your tickets on Saturday, April 27th you may purchase your tickets BEGINNING MONDAY, APRIL 29TH at the studio during regular studio hours.
- ENVELOPE METHOD – If you are unable to purchase tickets in person, you may turn in a ticket request envelope. Ticket request envelopes must be turned in to our front desk personnel before ticket day, Saturday, April 27h. A CHECK FOR THE FULL AMOUNT OF TICKETS BEING PURCHASED (10 ticket max. total) MUST BE ENCLOSED – NO CASH! If you choose to charge your card on file, your card will be charged upon receipt of your envelope at the front desk. When turning in your ticket request envelope, please check that your tuition through April and any other outstanding fees are paid in full.
The following information must be written on the outside of the envelope:
- Family Name
- Lottery Ticket Time
- Number of Tickets – List specific number of tickets with specific performance date – 10 TICKETS MAX. TOTAL
- Special Requests (section, row, aisle seat, etc.) – availability not guaranteed
A ticket seller will pull your desired number of tickets during your designated “ticket time” and put them in your original envelope. You may pick them up any time after Saturday, April 27th. The ticket sellers will do their best to give you your requested section / row, but if it is not available they will choose the closest alternative. IF YOU CHOOSE THE TICKET REQUEST ENVELOPE METHOD, YOU MUST BE WILLING TO ACCEPT THE SEATING CHOSEN FOR YOU. THERE ARE ABSOLUTELY NO REFUNDS OR EXCHANGES ON ANY TICKETS!
Please be sure you will be using all of your tickets purchased! Please do not buy 10 tickets under the assumption that you will find someone to use them to later find yourself stuck with tickets you will not use. WE WILL NOT TAKE THEM BACK!!! Please be certain for which performance(s) you are purchasing tickets. Many times we have had someone come in to purchase tickets and a couple days later a family member will come back and try to exchange the tickets because the person who bought the tickets purchased for the wrong performance. We have had people who did not realize they purchased tickets for the wrong performances until the day of the show! Please KNOW the performance(s) in which your dancer(s) will be performing. If you send someone else to purchase your tickets, it is helpful that they are aware of the day and time the dancer(s) has / have their regular classes in case there is a question about whether or not your dancer is in a specific show.
CHECK YOUR TICKETS BEFORE YOU LEAVE THE STUDIO!
MAKE SURE YOU HAVE THE CORRECT SHOW DAY & NUMBER OF TICKETS!
If you do not use either of the methods of ticket purchasing on Saturday, April 27th, you will have until Saturday, May 4th to purchase your 10-ticket limit or less before any remaining tickets go on sale.
Beginning Monday, May 6th at 4:30pm, any remaining tickets will be sold on a first come, first serve basis.
*HANDICAP SEATING – If you have a guest coming to one of the recital performances that is in a wheelchair or has any other special needs, please let us know BEFORE Saturday, April 27th. Handicapped tickets will be pulled for you prior to ticket day, and will be available for pick up on Saturday, April 27th when you come to purchase your remaining tickets. Handicap seating will accommodate up to 2 companion seats. Handicap seating is included in your 10-ticket limit, not in addition to your 10 tickets. Again, please let us know ahead of time before ticket day, Saturday, April 27th via email, phone or personal note turned into the front desk with specific details in regards to your handicap seating request.
IMPORTANT – There are many families who need to purchase most or all of their tickets for one specific performance. A dancer in several classes may only have one show in which all of his or her dancers will be performed. In addition, siblings enrolled at Young Dance may only have one show in common for all of their families’ combined classes. If it is possible and you have more than one choice, try to be flexible and choose the show that has more available seating when you come to purchase your tickets on ticket day.
THERE ARE ABSOLUTELY NO REFUNDS OR EXCHANGES ON TICKETS PURCHASED FOR OUR JUNE RECITALS!
*Please note that faculty and other staff members are given priority seating prior to ticket day.

We will be presenting 6 shows this year. EVERY show will be different; no two shows will be exactly the same. Every show will include a select number of our competitive dance numbers. On Friday, June 14th all of our Competitive Dance Program numbers will be performed, excluding solos. Soloists will each perform once and not necessarily in the Friday, June 14th show.
All performances begin at 7:00pm (with the exception of the Sunday, June 9th show which is at 2:00pm) at the Henry Ross Auditorium at Greendale High School Auditorium, 6801 Southway in Greendale.

IMPORTANT – I made every effort to consider all of your recital conflicts. Some of you may find that I could not accommodate your requests. If you find you have a conflict, please notify your teacher immediately so your teacher can work on getting a replacement for the show you will miss. In most cases, you will need to loan your costume to the dancer who will be taking your place in the show you will not be able to attend. Your teacher will be responsible for getting the costume back to you. Do not wait until the last minute to inform your teacher that you have a conflict with any of the recital dates now that you have the recital schedule! Please note: Most classes perform in three of our shows. Classes with six or fewer dancers (as of January 1st, 2019) will perform in 2 shows.
Recital Ticket Sales – Our recital ticket sales are handled using a lottery system. The lottery system will be explained in a separate email next month. Tickets go on sale Saturday, April 27th. You are limited to 10 tickets per family during the first week of ticket sales to ensure every family receives an even share of tickets. The remaining tickets are then sold on a first come, first serve basis beginning Monday, May 6th during regular business hours. Tickets are $15.00 each for all shows. Everyone seated in the audience requires a ticket (as outlined in our brochure). Ages 3 & younger do not need a ticket, but must be seated on the lap of an adult. ALL SEATING IS RESERVED.
Please make note that absolutely NO dancers are allowed in the auditorium during any of the performances unless they are not performing in that particular recital and have purchased a ticket for that particular show.
DANCERS MUST PERFORM IN ALL SCHEDULED PERFORMANCES (see above note titled IMPORTANT.) – Parents need only purchase tickets for the shows they plan to watch in a reserved auditorium seat. Parents should drop their dancer(s) off backstage for all shows in which their dancers are required to perform AND sign up to be a backstage volunteer during one or more shows for which they haven’t purchased a ticket!
All dancers are supervised backstage during all performances. We realize it is difficult for some to volunteer to help backstage for a particular show before you purchase your tickets. Please volunteer to help backstage as soon as possible after you purchase your tickets so we can get our shows organized to run as smoothly as possible. We count on the help of all of the wonderful parent volunteers to make each show a professional production for all to enjoy!
SHOW LINE–UP OF DANCE NUMBERS – Later this month you will receive the “line-up” (list of the exact order of dance numbers) for each show. You will then know ahead of time how many quick costume changes your dancer(s) may have (if they have costume changes at all). It may even help you decide which show to attend if you have a choice and which show you may want to be backstage to help your dancer(s). Many more details are to come regarding this process. Watch for the information to come soon.
DRESS REHEARSAL SCHEDULE – Each dance class will be assigned a specific rehearsal day and time, Friday, May 31st, Saturday, June 1st, Monday, June 3rd, Tuesday, June 4th, Wednesday, June 5th or Thursday, June 6th. Each group will come to Greendale High School in full costume, hairstyle and make-up to rehearse their dance on stage for approx. 20 – 25 minutes. The weekday rehearsals will start at approximately 4:00 p.m. Please note that if your dancer has more than one dance number they most likely will have to rehearse on more than one specific day at the high school. This means that you will need to do hair and make-up on more than one day. In preparing the rehearsal schedule, I try to keep as many dancers and their classes grouped together on the same day. However, you can imagine it is difficult and will not be ideal for everyone.
We DO NOT do A full run-through of any show from start to finish.
DRESS REHEARSAL AND RECITAL VIDEOTAPING – Only dress rehearsals may be recorded. As it states in our brochure, there is NO personal recording of any of our recitals. Our recital is professionally recorded by Superior Video Productions. The reason for this rule is to protect teachers’ choreography and to allow our audiences to be free of obstructed views from other cameras/phones and movements during our performances. NO RECORDING of any kind (INCLUDING CELL PHONES, ETC.) IS allowed in the auditorium during any performance. Please make a note of this and remind all of your guests that are planning to attend any of our shows. You will be asked to take your camera to your car and/or put your phones away. Please adhere to these policies as a courtesy to the dancers, teachers and the other members of our audience.
NO FLASH PHOTOGRAPHY IS ALLOWED DURING ANY OF OUR PERFORMANCES – You may take unlimited photos at DRESS REHEARSALS ONLY. Flash photography during a performance is not only distracting to those around you, but may be both distracting and dangerous for the dancers performing.
COURTEOUS BEHAVIOR – Please remind your guests attending our performances that we expect our shows to be enjoyable for all. It is not enjoyable, however, for those attending to be forced to tolerate screaming and shouting out of dancer’s names, etc. during and in between dance numbers. It is rude and a definite distraction! Please inform all of your guests that this will not be tolerated and your guests will be asked to leave the auditorium if they cannot conduct themselves in a mature manner. This is primarily a “teen” problem, however there are even some adults who do not seem to understand that it is NOT a sporting event. Please applaud and cheer for your dancers after they have performed to show them how proud you are of them! It’s unfortunate that some do not have enough confidence that their dancers really can perform their best without hearing their name being yelled out from the audience. My advice is to refrain from inviting those who simply cannot control their behavior. It is embarrassing to your dancer to hear their name shouted out before and/or after they perform (trust me, they are cringing backstage and/or onstage if they are hearing their name yelled before the music begins!) We at Young Dance try to make this the most professional theatrical experience for all to enjoy!
In addition, please do NOT get up in the middle of the performance to exit the auditorium and/or to go backstage to change your dancer’s costume(s). Our backstage staff is there for costume changes during each Act! We have an extremely efficient group of parents and dancers who are happy to make it easy for you to sit back and enjoy the show. If you must get up during the show, please be courteous and wait until a dance number is completely finished before discreetly exiting! Guests will be allowed to return to their seats in between dance numbers ONLY!
IMPORTANT INFO CONCERNING BACKSTAGE VOLUNTEERS – We are so thankful and extremely appreciative of all of our parent volunteers who generously donate their time during our June recital week and for our December Holiday Showcase day each dance season. We need to have the backstage dressing rooms adequately staffed to take great care of all of the dancers, especially those youngest dancers who need help with trips to the bathroom, costume changing and general attention.
Please remember to volunteer to help backstage for at least one of our June recitals this spring. We need you! Thank you in advance for your consideration!
Parent volunteers must remain backstage during the show for which they have volunteered. Parent volunteers are not allowed in the auditorium unless they have purchased a ticket and must be seated in an auditorium seat. No one will be able to congregate in the entrance to the auditorium to watch a dance number regardless of whether or not they have paid for a ticket. Parents congregating inside the auditorium near the entrance to watch their dancer perform are greatly disturbing to the families who have purchased tickets and are seated near the entrance. No one will be able to congregate in the entrance to the auditorium. Please keep this in mind when purchasing your tickets! In addition, parent volunteers may not watch their dancers perform from the side stage wings as has happened in the past. It has proved dangerous to the dancers performing in several cases in years past.
